This guide walks you through using Platoon to transcribe interviews and meetings and turn them into AI-generated notes. The web app is available at app.pltn.ai.
1. What is Platoon
Platoon is an AI note-taking tool for expert interviews and meetings. Upload an audio or video file, or a text transcript, and Platoon automatically transcribes it, separates the speakers, and generates structured notes in minutes.
2. Getting started
Signing in
Sign in at app.pltn.ai using any of the following:
- A Google, Apple, or Microsoft account
- Email code — sign in with a 6-digit code sent to your email
- Email and password — if you forget your password, use “Forgot password?” to reset it by email
Some company email domains require Microsoft sign-in (SSO) for security. If so, follow the on-screen prompt to sign in with your Microsoft account.
Creating a project
Interviews are organized into projects. Creating a new project is a three-step wizard:
- Details — Enter a project name and type, and optionally attach related documents (PDF, Word, Excel, PowerPoint, or TXT).
- Hypotheses — Add the key hypotheses you want to test, one per line. Your notes use this context.
- Team — Invite teammates by email. You can manage access anytime in project settings after creation.
3. Uploading interviews
The core unit of work in Platoon is an interview. Choose an interview type — Expert Interview, Client Weekly (a recurring client meeting), or General — which determines the kinds of notes that are generated.
Uploading files
- Audio and video: MP3, MP4, WAV, M4A, FLAC, AAC, WEBM, OGG
- Text transcripts: .txt, .docx, .doc — turn an existing transcript directly into notes.
- Combining multiple files: Add several files to one interview and they are merged in the order you set. Use the arrows in the upload panel to reorder them (for example, a single interview recorded as two separate files).
Recording with a meeting bot
You can send a Platoon bot (named Platoon Notetaker by default) to an upcoming video meeting to record and transcribe it automatically.
- Paste the meeting URL. Zoom and Microsoft Teams are currently supported.
- Choose Join now or Schedule a join time.
- When the meeting ends, the recording is transcribed automatically and saved as an interview.
To record live audio on your computer (Record live), you’ll need the separate Platoon desktop app. On web and mobile, use file upload or the meeting bot.
4. Reviewing and editing notes
Note types
The notes generated depend on the interview type:
- Expert Interview: Q&A Script, Key Summary, and Full Note. When regenerating, you can also add Figures and Quotes.
- Client Weekly: Request Summary and Full Note
- General: Full Note and Q&A Script
Use Regenerate (top-right of a note) to re-create notes with a different note type or language.
Editing and highlighting
- Notes open in a rich-text editor, and the title and summary are editable inline. Only the interview’s author can edit it.
- Click a reference in a note to highlight the linked transcript lines.
- Find and replace a word across the transcript — a single occurrence or all of them.
- Copy a note, or download it as Text, Word, or Markdown.
Speaker mapping
Uploaded audio is automatically separated by speaker (diarization). From the speaker bar you can:
- Rename a speaker
- Merge speakers that should be the same person — all of that speaker’s lines and note references are reassigned together.
- Filter to a single speaker’s lines
- Apply AI-suggested speaker labels
5. Sharing
There are two ways to share:
- Share an interview or note by link: Create a share link per interview, optionally protected by a 6-character passcode. Recipients can view the note (and may be asked to sign in); editing remains restricted to the author.
- Share a project: Invite teammates to a project by email so they can view its interviews together. Membership has two roles: owner and member.
6. Managing your account
Manage your account from Settings (top-right). Tabs include General, Usage, Subscription, Notifications, and Appearance.
- Profile: Edit your name and view your company, and change the interface language.
- Usage: See your Total Remaining Minutes. Billing is based on minutes of usage.
- Subscription: On web, manage your plan through Stripe (subscribe, renew, cancel) and open the billing portal.
- Deleting your account: Delete your account and data from Settings → “Delete account” in the app. If you can’t access the app, email support@platoonhq.io. See Account & Data Deletion for details.
7. Supported formats and languages
File formats
- Audio and video: MP3, MP4, WAV, M4A, FLAC, AAC, WEBM, OGG
- Text: .txt, .docx, .doc
- Project documents: PDF, Word, Excel, PowerPoint, TXT
Languages
- Transcription and notes: English, Korean, Chinese, Japanese, and German. The spoken language is auto-detected by default, and you can choose the language your notes are written in separately.
- App interface: English and Korean, switchable in Settings.
8. FAQ
What’s the maximum file size?
You can upload files up to 1 GB each.
Do I need to keep the page open while a file uploads?
Yes — keep the page open until the upload finishes. Once the upload is complete you can leave the page and the interview will keep processing. Leaving before the upload completes will interrupt it.
How long does the meeting bot record?
The meeting bot records for up to about 4 hours. It ends automatically if no one joins or after a long period of silence.
How long does note generation take?
Notes are typically ready in about 3 to 5 minutes.
